We are currently in search of a highly skilled and motivated Senior Office Administrator to play a pivotal role in maintaining the smooth and efficient functioning of this distinguished establishment.
- Team Leadership:
- Supervise and lead a team of administrative staff, providing guidance, mentorship, and performance management.
- Foster a collaborative and efficient working environment to ensure optimal productivity.
- Policy and Procedure Development:
- Develop and implement effective administrative policies, procedures, and systems to streamline operations and enhance overall efficiency.
- Regularly review and update policies to align with organisational goals and industry best practices.
- Collaboration with Department Heads:
- Work closely with department heads to understand their administrative needs and provide necessary support to ensure effective work-flow.
- Facilitate communication and coordination between departments to enhance overall organisational efficiency.
- Record Management:
- Oversee the management of employee records, including attendance, leaves, and performance evaluations.
- Ensure compliance with company policies and legal requirements regarding record-keeping.
- Meeting and Event Coordination:
- Coordinate and organise meetings, conferences, and company events, including logistics, scheduling, and catering arrangements.
- Ensure smooth execution of events, contributing to a positive and engaging work environment.
- Reporting and Correspondence:
- Prepare accurate and timely reports, presentations, and correspondence as needed.
- Maintain a high level of attention to detail and professionalism in all communications.
- Confidentiality Management:
- Handle confidential information with the utmost integrity and professionalism.
- Process Improvement:
- Identify areas for process improvement and implement changes to enhance overall administrative effectiveness.
- Stay updated on industry trends and best practices.
- Facilities Management:
- Oversee facilities management, including maintenance, repairs, and supply procurement to ensure a safe, clean, and comfortable work environment.
- Vendor and Client Interaction:
- Serve as the primary point of contact for external vendors and service providers, negotiating contracts, and managing relationships.
- Manage parking services with the building management
- Financial Oversight:
- Review and approve all vendor invoices and partner's expenses.
- All-Staff Meetings:
- Plan, organise, and run All-Staff meetings to ensure effective communication and engagement among employees.
- Bachelor's degree in Business Administration or relevant field.
- 5 years of experience as an Office Administrator or in a similar role.
- Applicants having a previous experience within a consultancy firm would be a priority
- Strong leadership and team management skills.
- Excellent organisational and multitasking abilities.
- Proficient in Microsoft Office Suite.
- Exceptional communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
